How Handback uses your details
For people who got a question through Handback without having an account, and for people who ask with Handback's assistant.
Why you got a question
Someone who uses Handback typed your email address or phone number to ask you something. Handback delivers their question to you and brings your answer back to them.
You don't need an account to answer, and nobody can look you up on Handback.
What Handback keeps
- Your email address or phone number, stored encrypted, so the questions sent to you reach you.
- Your answers and any note you add, with the request of the person who asked. They are that person's record.
- When you open a question page: the time, and the IP address and browser your device sent. The IP address and browser are deleted after 30 days.
- For an email: whether it was delivered and opened, so the person who asked knows it reached you.
What Handback doesn't do
- It doesn't send you marketing or sign you up for anything.
- The links in its emails go straight to Handback, never through a tracking service.
- It doesn't show your address to anyone but the person who entered it.
Your choices
- Block a sender. Their requests stop reaching you, and they are only told that their request couldn't be delivered.
- Delete your data, at any time. Your address is deleted at once and the links you received stop working. Answers you already gave stay with whoever asked, without your address. If you blocked someone, only a scrambled form of your address is kept so the block keeps working.
Both are on the page linked as Block this sender or delete your data, at the end of every question page and every email Handback sends you.
If you ask with the assistant
People with a Handback account can describe a request in their own words and let the assistant draft it. The assistant runs on Claude, a model made by Anthropic, which processes what you write on Handback's behalf.
- What it sees. Your own words in the conversation, the draft as it takes shape, the names, titles and teams of the people it looks up in your organization, your project names, a summary of data you attach and the photos you attach. When you ask it about a request, the detail of that one request. Nothing from another organization, and nobody's answers but the ones in the request you open.
- What Anthropic keeps. Anthropic deletes the assistant's inputs and outputs from its systems within 30 days, unless it has to keep them longer to enforce its usage policy or by law. Under its commercial terms it doesn't train its models on them.
- Where it runs. Anthropic may process the assistant's conversations outside the European Union, in the United States among other places. Residency in the EU is not guaranteed.
- What Handback keeps. The draft, in your Drafts, until you send or discard it. The conversation is not saved with your requests or shown anywhere in Handback; only the trace below keeps a copy.
- Tracing. A copy of each assistant turn (what the model saw and wrote, with your user id) is kept on Handback's own server in Germany, in a tracing tool Handback runs itself (Langfuse), so Handback can check the assistant's quality and cost. It goes to no other company.
The people you ask receive nothing until you tap Send.
Who decides about your data
When the person who asked uses Handback on their own, Handback is responsible for your data. When they use it for an organization, the organization is, and Handback handles the data for it. Anthropic handles the assistant's data for Handback under its data processing agreement.
To ask about a question you received, reply to the person who sent it.
